Supporting Your Students
Concurrent enrollment coordinators in the high schools are responsible for the oversight of the concurrent enrollment programs at their high schools. Below is a list of things CE coordinators need to do to do to ensure that all student requirements are met.
Screening Students
High school teachers and high school CE coordinators are responsible to screen students for registration eligibility. Many classes have restrictions such as class status, enrollment caps, and pre-requisite requirements.
All these restrictions are listed on the SLCC CE Course Offerings/Teacher Requirements webpage. While the Board of Regents additionally recommends a 3.0 GPA for students participating in concurrent enrollment, SLCC invites high schools to consider other success criteria besides just GPA when deciding if a student is motivated and academically prepared to participate in concurrent enrollment, such as maturity, teacher recommendation, aptitude for certain subjects, etc.
Students who have graduated from high school or have passed their expected graduation date are not eligible for concurrent enrollment. Additionally, students are not allowed to repeat a concurrent enrollment class due to an undesirable grade. If they perform poorly and wish to re-take a course, they will need to do that through Early Enrollment or after high school graduation.
Meeting Concurrent Enrollment Deadlines
Students must be admitted, tested, and registered by the required deadlines.
Deadline Exceptions
There are no exceptions to the Concurrent On-Campus deadlines or the admissions deadline.
Late registrations, drops, and withdrawals can be requested for classes at the high school by using the late registration form during the one week clean up period. Late registrations, drops, and withdrawals outside of this window and for courses taken on a SLCC campus will need to submit a registration appeal.
Paying Tuition & Fees
To be admitted to the college, students must complete an online admission application and pay the $40 admission fee. This is only done one time and they will not need to pay again if they choose to attend SLCC after graduation. Students must provide their state student ID number (SSID). The admission application will also ask students for their social security number (SSN); this is optional, however students who provide their SSN will have a much easier time recovering their student number and login information if they forget it.
Students who do not have access to a credit card may complete the online application and then pay by cash or check at one of the SLCC cashier’s offices using the App ID number.
After completing the admissions application, students will receive a letter in the mail approximately 10 business days after submitting the application, which will include the SLCC ID number (S Number).
Students can recover their username and S Number online within 24 hours of applying for admission. If they are unable to retrieve their S Number after 48 hours, the student will need to call our office to verify the information that they entered on their application is correct. The CE coordinator can also recover their S Number within 3 days of completing the admission application.
After 24-48 hours of completing the admissions application students should be able to take the placement test, set up their college MySLCC account, register for classes, and obtain a SLCC OneCard.
Monitoring Testing and Prerequisites
Required Test Scores
Many of SLCC’s courses have prerequisites such as test scores, assessments, or completing other courses and concurrent enrollment students are subject to those prerequisites. School district and high school administrative personnel, working in collaboration with SLCC’s CE Office, are responsible for ensuring that students have met the test scores and/or course prerequisites for the concurrent enrollment course(s). High school CE coordinators or administrators are responsible for administering the placement process. Eligible placement tests include the ACT, SAT, and the SLCC Placement process.
A list of required test scores can be found in the course offering table.
ACT & SAT Testing
For Biology, English, Math and other classes requiring prerequisite test scores, the test scores must be recorded on the SLCC system before the student can register. Scores must be submitted by the student by either selecting SLCC when registering to take the test or by logging into the ACT or College Board (SAT) website, requesting that their scores be sent to SLCC, and paying the required fee. It can take two weeks or more for scores to appear in the SLCC banner system once they have been requested.
Math scores may be used for placement for one year (18 Months for ACT scores). English scores may be used for placement for ten years. If ACT scores are included in the student’s official high school transcript, the school can submit the transcripts to SLCC directly through a support request or e-mailing them to highschoolstranscripts@slcc.edu Please be aware that the SLCC data center will only accept transcripts if they are signed by the high school registrar or include a transcript disclaimer letter.
Coordinating the SLCC Placement Process
The SLCC Placement is administered through a student’s SLCC Canvas account. These are taken online and can be done at home or in the computer lab at your school but each student must have their own computer.
Concurrent students must fill out the concurrent application, pay their $40 and wait 2 days before they can test. Students can retake the SLCC Placement test once per semester, but they must wait 3 weeks between test dates or test results will be deleted.
For more information, please visit the SLCC Testing page.
Math Requirements
All students must complete Secondary Math I, II, & III to be eligible for any CE Math course. Students that complete each course in the series with a “C” average or better qualify for MATH 1010, MATH 1030, and MATH 1040. Students that have taken the courses but did not receive a “C” or better in one or more of the courses will need to place into them with test scores.
Students that would like to take MATH 1050, MATH 1060, or MATH 1210, must have completed the Secondary Math courses (each with a “C” average or better) and place into the course they are registering for using ACT, SAT or completing the SLCC Placement Process.
When placing into a MATH 1010, MATH 1050, MATH 1060, or MATH 1210, student will need both Math and Reading Scores.
The courses students are taking should align with their chosen program of study. If they haven’t done so, they may want to meet with their counselor to help them choose the correct Math course.
AP Exams for Prerequisites
If a student is taking an AP course and wants to use it as a prerequisite for one of their CE courses, they are responsible for having their test scores sent to SLCC. They will also need to fill out the request for transcript evaluation found at: https://www.slcc.edu/transcriptevaluation/index.aspx or in the “Academics & Records tab in MySLCC (“Transcript Evaluation” in the “Academic Records” section).
Remind students that AP scores can take up to 8 weeks to be received and evaluated, especially during peak times. SLCC’s Concurrent Enrollment office does not make exceptions for AP scores that are not received or evaluated. If the scores are not received and processed before the registration deadlines, they will not be able to register for the course.
Students can check the current AP Chart of Credit Equivalencies at https://www.slcc.edu/transcriptevaluation/transferring-guidelines.aspx
Managing Registration
Once a student has been admitted to the college and paid the admission fee, it is the responsibility of the student to register themselves by the registration deadline. Failure to register by the deadline will result in the student not receiving college credit. In order to register, the student will need to obtain the Course Reference Number (CRN) from the teacher or coordinator. Students will need to log into their MySLCC account and register for the CRN they were given by their instructor.
Registration Issues
CE coordinators have access to several resources to help them troubleshoot these and other registration problems. To schedule an individual training session on how to use these resources contact the Concurrent Enrollment Office.
Common Registration Issues are listed in the High School Partners Resources webpage.
Deadline Exceptions:
Once the registration period has ended, the SLCC CE Office will allow CE coordinators one week to compare class lists and submit late registration forms, late drop forms, and CRN corrections for classes at their high school. All fields must be completed on the form including the student signature or the form will not be processed. After the one-week window, the Concurrent Enrollment Office will not accept additional late registrations and registration will be closed.
For a student to be eligible to be registered or dropped from a class during this time period the following criteria must be met:
Eligible to use late-registration form during the one-week period:
- The student must have been admitted prior to the admission deadline.
- The student must have submitted their ACT, SAT, or SLCC Placement test scores on or before the benchmark date even though the scores have not been recorded in SLCC’s system.
- The student accidentally registered for the wrong CRN at their high school and needs to be moved to match their H.S. schedule.
- The student must not have any registration issues that could have been resolved by the student alone such as:
- MySLCC login issues.
- Unresolved holds that are not tied to ACT, SAT, or SLCC Placement test score submission including:
- small balance holds
- term change holds
- wrong application holds
- campus restriction holds
- closed section holds
- time ticket holds
- registration status holds
- pre-requisite or co-requisite holds
Not eligible to use late-registration form during the one-week period (late registration will be denied):
- The student had not been admitted by the registration deadline.
- The student had not cleared their small balance hold and could not register by the deadline.
- The student “forgot or didn’t get around to registering” before the deadline.
- The student did not submit their ACT, SAT, or SLCC Placement test scores by the benchmark date.
- AP scores were not received and processed by the registration deadline.
As always, we understand that there are circumstances outside of the student’s control that may keep them from meeting the deadlines such as medical emergencies, domestic conflict, etc. Such circumstances will be reviewed on a case by case basis. In such instances, please call the CE Coordinator for guidance.
Registration for Concurrent On-Campus
As mentioned previously, Concurrent On-Campus deadlines mirror the regular 16-week college schedule. Please note the “Concurrent Enrollment On-Campus Request Deadline” which happens about one week before classes begin each semester. On-Campus requests must be received by this deadline. Students will only be able to register for the courses that have already been requested, after this deadline.
Students are limited to 3 Concurrent On-Campus classes per semester, no exceptions. Additional classes must be taken through Early Enrollment.
Only the courses listed on the Concurrent On-Campus class schedule are available for the reduced tuition of $5.00/credit. Students who register for an incorrect section risk being dropped or being charged full price, so it is very important that students carefully follow the registration process listed below. Additionally, registration exceptions are not granted by the Concurrent Enrollment Office for students who have sat in the class but did not register themselves by the deadline. STUDENTS WHO ARE NOT OFFICIALLY REGISTERED IN THE CLASS SHOULD NOT ATTEND CLASS.
Each course will have a limited number of seats available. Once those seats are full, students may be able to put themselves on a waitlist when they attempt to register. If a student adds themselves to a waitlist, they will be notified via their Bruinmail if a seat becomes available. Notifications for waitlists WILL NOT FORWARD from Bruinmail to another e-mail. Students will need to make sure to check their Bruinmail several times a day to see if a seat opens. Once a student is notified that a seat has opened, that student will have 24 hours to register. If they do not register themselves within that time, they will be dropped from the waitlist.
Obtaining Parent Permission
SLCC is now using the parent permission form found on the USHE website here: https://ushece.service-now.com/concurrent_enrollment The student can also find a link at the bottom of the Registration page of the CE website.
SLCC has no way of tracking who has and has not signed the parent permission form. Students will need to have their SSID, S#, and their SSN. If your school is not showing as an option on the form, please contact the SLCC CE Coordinator. For all other issues, please contact the number listed on the site.
Textbook Fees & Waivers
The tuition costs are charged at the fee waiver rate, so they are not eligible for further waivers. In addition, students are responsible for procuring their own required books. SLCC does not charge CE students student fees, course fees, or lab fees, but they may see additional charges with their tuition due to textbook charges. Some courses use online resources and all-inclusive textbooks to help SLCC students save money on books. The charges for those books are usually paid through student fees. CE students will see an additional charge on their tuition for access to those books because they don’t pay student fees. Some schools may have funds available to help students who struggle with admissions fees, tuition, and/or textbooks. The CE office is not authorized to pay or waive any of these charges.
